Quarterly Meeting Minutes

June 13, 1999

Salem Quarterly Meeting met March 14, 1999, at the Mickleton Meetinghouse. Chris Mahon, Assistant Clerk of PYM, who was substituting for Gloria Horvay, Salem Quarter Clerk, opened the meeting after a brief period of worship. She welcomed everyone and explained that Gloria was not present due to another recent surgery for Andy; we held the Horvays in the Light.

Chris thanked Mickleton for hosting this Quarterly Meeting. The March Quarterly Meeting Minutes were approved as written.

Mary Waddington, Clerk of the Quarter Worship and Ministry Committee, summarized her written report. She stated that the Quarter Silent Retreat was successful, although some Friends requested more structure. Another Quarter Retreat is being planned for October 16, which Sondra Ball will lead on "Prayer and Meditation." At their recent meeting, the Committee discussed ministry to Friends in hospitals; this concern will be forwarded to Monthly Meetings. She noted that the Committee is sponsoring the 3rd Annual Quarter Retreat to be held in August; Friends were invited to participate in the Planning Meeting scheduled for June 20. Interested Friends should contact Phil Anthony or Mary.

Sondra Ball, Co-Clerk of the Youth Committee, reported that this Committee is requesting to expand its focus to address all ages in its activities, infants through adults/families. Friends approved this change; it was emphasized that this new focus was already envisioned and included as part of our Quarter goals for this year. She thanked Cindy Cox Crispin, Sue Price-Redfern, and Sandy Ridgeway for their participation in this Committee and she encouraged Friends to attend the next meeting of this open Committee scheduled for July 7, whereupon the Committee will develop a budget and plan programs to serve "a community of families." As its first activity, the expanded Committee is sponsoring an Intergenerational Camping Sleepover at the Crispins' farm on July 10. She announced that other family activities are planned for this summer, i.e., trip to the zoo.

Dianne Herland Sloane presented the Quarter Financial Report. She noted that over-all, the Quarter is ahead; however, she encouraged all Monthly Meeting Treasurers to submit their covenants by the end of June which is the end of the fiscal year. She indicated that she would like the names of all Monthly Meeting Treasurers. Friends accepted the Treasurer's Report.

Chris noted that the Steering Committee only planned to report on the Coordinator's Evaluation. Mario Cavallini stated that all Monthly Meetings had submitted feedback to the Evaluation Sub-Committee and the Sub-Committee had met with Phil several times to discuss his performance during the past year. He reported that the over-all conclusion was that Phil was doing an excellent job as Coordinator and the Steering Committee is supervising his small adjustments.

Cindy Cox Crispin, Co-Clerk of the Quarter Outreach Committee, reported that there had been no recent Committee Meeting; however, she encouraged all Monthly Meetings to submit the information needed to complete the long overdue Follow-up Reports concerning the PYM Grants. She requested information concerning the Quarter Retreat and Quarter Brochures be given to Phil and herself respectively. She invited Friends to attend the next meeting scheduled for 1:00 on November 7 at Woodbury Meetinghouse. She also encouraged Friends to submit information to Mario concerning Monthly Meeting web pages.

Chris announced that recently there had been a Called Meeting for Worship concerning Kosovo. Mario reported that after the worship period, Friends discussed longstanding feelings and concerns, then developed a list of practical things which could be done. He indicated there was a need for housing and other support for the refugees. An informational meeting planned for 7 PM on June 29 at the Woodstown Meetinghouse will address practical as well as emotional/social issues of hosting refugees. Friends approved this Meeting to be a Quarter Activity and empowered the Ad Hoc Group to move forward as the way opens. Chris announced that more "Kosovo Kit Help" is needed at 1515 Cherry Street; she expressed how much the Young Friends from Woodstown MM benefitted from assisting with the Kosovo Kits.

George Crispin, Clerk of Quarter Trustees, reported that the mowing is going well for the Quarter properties as is the work of the Boy Scout, Billy Smith, who currently is power washing the stone wall at the Maurice River Burial Ground. George announced that the Trustees plan to host another summer program at the Lower Alloway's Creek Meetinghouse for four Sunday evenings. Chris mentioned that the power washing had effectively erased graffiti on Woodstown Meetinghouse.

Lois Dinshah suggested a Friend volunteer to build bookcases in Phil's office to organize his Coordinator materials; Friends approved the use of a small amount of money if needed to support this project. Lois also suggested that we improve our historical records by developing notebooks for Quarter newsletters and flyers so that extras can be discarded. Chris recommended a Quarter Archive Committee be formulated to handle historical papers, newsletters, and flyers, and to determine where to archive Quarter materials. Friends approved all these ideas. The Steering Committee will discuss the issue of extra Quarter Newsletters.

Lois reported that she has started publishing and distributing a Criminal Justice Newsletter. She noted that her request for PYM funds has not been very successful; although they probably will provide some funding for next year. She requested financial assistance for Roshan and her to attend the Institute for World Spirituality Conference next year. After our Quarter Treasurer indicated that money was available in the Quarter Testimonies and Concerns area, Friends approved $300 to be to given to the Dinshahs to support attending the conference; Lois stated she will request travel money from PYM and will reimburse the Quarter if any of the granted money is not used.

Chris read some Quarter correspondence which announced that on February 28, 1999, the Frankford Preparative Meeting had been granted "full status" and had become Unity Monthly Meeting. Friends supported sending a letter of welcome to this new PYM Monthly Meeting.

Chris read a letter from John Harkins, Headmaster of Friends School at Mullica Hill, which thanked the Quarter for its $800 scholarship money for Friends' children. Friends were invited to attend the Graduation Ceremony on Thursday evening June 17 and meetings for worship at the school next year. The school's yearly auction was reported to be successful.

Chris read a letter from Mike Ayars, representing the Burlington Meetinghouse Concerns Group, in which Friends were encouraged to join the Committee to oversee the usage of Burlington Meetinghouse. Interested Friends may contact Phil or Mike for more information.

Chris summarized a letter from the Co-Clerks of Haddonfield MM's Peace and Social Concerns Committee; she noted that a copy of the letter had been sent to all Quarter Monthly Meetings and the Steering Committee. Increased intercommunications was the focus of the letter.

Mario announced that Mickleton Monthly Meeting now plans to hold its Bicentennial Celebration on October 3 rather than previously scheduled dates.

Chris reminded Friends that reservations for Residential Yearly Meeting to be held July 20-25 are due June 26. Chris noted the nice country setting and that scholarships are available. She stated that PYM wants Friends to sign up for the children's program.

Chris enouraged Friends to attend the next Quarterly Meeting which will be held at Greenwich Meetinghouse during the evening of September 12. She announced that Elizabeth (Libby) Marsh, the Clerk of the PYM Peace and Concerns Standing Committee, will be presenting the program. Chris expressed that Libby is an example of how one person can create a ripple effect by touching the lives of one or two people.

Before closing the meeting with a brief period of worship, Chris voiced a warm welcome on behalf of the Quarter to the Hornes, longstanding active PYM Quakers, who have recently transferred their membership to Greenwich Monthly Meeting, and today were attending their first Salem Quarterly Meeting.
