Quarterly Meeting Minutes

March 14, 1999

Salem Quarterly Meeting met March 14, 1999, at the Woodstown Meetinghouse. Gloria Horvay, Salem Quarter Clerk, opened the meeting after a brief period of worship and welcomed everyone. She expressed thanks to Woodstown MM for hosting our session today and supplying the delicious soups and beautiful flowers. She promised to expedite the meeting due to the thick falling snow outside.

After the minutes were corrected and approved, Gloria reported that she did send the welcoming letter to the newest MM, Towanda MM, and she briefly reviewed items on the agenda.

Dianne Sloane, Quarter Treasurer, provided the Treasurer’s Report. Friends accepted the report as given.

Peggy Warner, Clerk of Quarter Nominating Committee, reported the new nominations and suggested reappointments. All nominations were approved. Friends reappointed to Quarter positions were:

It was also announced that William Pettit will serve on the Quarter Nominating Committee as the Friends Home Board Representative.

Phil Anthony, Quarter Coordinator, provided a Quarter Worship and Ministry Report for Mary Waddington, Clerk of the Committee. The theme established for the Quarter Retreat will entail inreach through play. The Committee is working on contacting Friends to serve as facilitators for the August event to be held at the Burlington Meetinghouse.

Phil reported that the Quarter Silent Retreat is scheduled from 9 a.m. until 9 p.m. on April 24 at Mickleton MM’s Little Red Schoolhouse. A $5 donation is requested to cover food. He asked interested Friends to contact him ASAP to indicate plans to attend so the correct amount of food can be purchased.

Gloria led a discussion concerning options for developing names of Friends for the PYM Worship and Ministry Committee. It was suggested that new Friends serve on the Committee. Chris Mahon added clarification, stating that it is a complicated process and that the Nominating Committee is developing a Handbook.

Jack Mahon, Clerk of the Steering Committee, invited Friends to review the new goals listed in the recent Salem Quarter News. He reminded Friends that these goals were developed by the Steering Committee but they are the Quarter’s Goals. He encouraged MMs to suggest new goals as inspired. He reported that we are investigating obtaining a copyright for the Newsletter which is important for Friends who submit items, especially now that parts of the Newsletter will be printed on the web page. Friends approved acquiring the copyright.

Mario Cavallini reported on the web site opportunity, noting that each MM has its own web page through PYM which may be operated by each MM or he will input items as submitted. He reported that as directed by the Steering Committee, he will be supervised by the Quarter Outreach Committee. Friends approved limited contents of the Newsletter to be published on the web page.

Bob Horvay explained that as in the past he arranged for FGC books to be displayed and available for purchase at the Quarterly Meeting; he noted that a credit is given by FGC for purchases. He read a letter directed to the Quarter suggesting that Phil be designated to purchase books for the Quarter using the FGC credit developed by the books purchased. Friends approved this process.

Gloria announced that Greenwich MM is hosting a Quakerism 101 course which starts April 11; flyers were distributed.

Sue Price-Redfern, Clerk of the Quarter Finance Committee, submitted an amendment to the report provided in the recent Quarter Newsletter [see amendment]. It was reported that the Finance Committee will be including a portion in the budget to cover the Coordinator’s family for health insurance.

George Crispin, Clerk of Quarter Trustees, reminded Friends that the Trustees are responsible for all properties owned by the Quarter. He announced that the Trustees have approved a boy scout, Billy Smith, to work on the Maurice River Burial Ground; the young man who has his own insurance will mow, fix the walls, and erect a new sign and gate. George reported that Steve Hancock is interested in donating time to clean up another burial ground. George welcomed Barry Slaone to the Trustees and stated his appreciation for his great contributions. George explained his donated mowing services as outreach to the neighborhood ladies who act as “guardians” for the Lower Alloway Creek grounds and he reported that the Trustees are still investigating options for a silicon type treatment to this Meetinghouse as they check the historicity of fixing the walls. He reported that there have been six new burials over the past year and that the Trustees need to make a map of the burial grounds. He noted that the Alloway Township is trying to obtain another old Friends burial ground to declare it a historic site; the Trustees will continue to monitor this situation. George mentioned that soon he will have more time to conduct Trustee matters since he plans to retire shortly. He indicated that the Quarter should spruce up all properties in preparation for the Woodbury Millenium visitors. A question was asked about the status of the well cap at the burial grounds; George responded that the Trustees will arrange for it to be capped safely. It was suggested that a thank you letter be prepared for the boy scout on behalf of the Quarter and a Friend reminded George to consider printing the new area code on the erected Maurice River sign. Friends decided to consider making a donation to the boy scouts at a later time. An announcement was made that MMs should inform the Steering Committee if they are interested in obtaining new signs.

Gloria announced that there was another new Fiduciary agreement; Friends approved the new agreement.

Chris Mahon explained that each year Woodstown MM has been purchasing an ad in the Friends School Auction Brochure. She suggested that it would be better to purchase an ad for the Quarter; she reported that she has made all the arrangements to have the costs donated for such an ad. Friends approved the Quarter ad and noted a minute of appreciation to Chris for her efforts and to the anonymous donors.

Sondra Ball proposed that the Quarter partake in a special “Peace Prevails on Earth” project which Mickleton MM has already approved. The project involves individual Friends submitting small squares of cloth which have been charged with positive energy in order for banners to be made which will be distributed to all countries of the world. Friends approved this project for the Quarter. Lois Dinshah announced a movement to make January 1, 2000, a World Peace Day.

Mario, Recording Clerk for the Quarter Outreach Committee, reminded Friends to read the complete Committee minutes in the Quarter Newsletter. He reiterated that each MM now has its own web page which Mario will coordinate; if a MM wants to operate its own page, they should contact Hal Taylor. A suggestion was made to establish a two way link between our web page and that of the Friends School; this idea was approved.

Sondra Ball, Co-Clerk of the Youth Committee, reported that there was no sleepover this weekend due to her illness; however, she noted that Quarter teens entering the 6th grade in September are invited to participate in the June sleepover. Friends should provide names to Sondra ASAP. A suggestion was made to invite Friends School students to the sleepover; it was decided that this would be totally dependent on the number of reliable adult Friends willing to commit to supervising the event. Cindy Cox Crispin expressed interest in developing Quarter gatherings for younger Friends; Sondra indicated she will convene a special meeting to discuss this idea.

Bob Horvay requested a travelling minute for Gloria and himself as they prepare to attend Central Alaska Yearly Meeting in July. Friends approved; it was suggested that they buy netting for camping and plan to provide a report and pictures upon their return.

Friends were reminded of the next Quarterly Meeting’s program which will focus on “Youth.” The speaker will be our Quarter’s own Maurice W. Ayars Jr.

Concern was raised about publishing financial information in the Quarter Newsletter and/or on the web page as well as concern for distributing our Quarter Newsletter to non-Friends. Discussion ensued about the purposes of the Newsletter; Phil summarized the two main purposes: (1) To provide a journal of record for items i.e. Quarterly Meeting minutes, Quarter Committee Meeting minutes, Treasurer’s Reports; and (2) To provide an avenue for the Quarter to minister unto itself. After lengthy discussion, Gloria discerned approval for omitting financial reports on the web page and approval for including financial information in the Quarter Newsletter albeit in a new condensed Budget Report format, with a line stating “more information is available from ... ” It was also approved to allow Quarter Newsletters to be available at the Residential Yearly Meeting; Phil will request about $100 from the PYM Outreach Committee (or another committee) to cover the cost of printing extra sample Newsletters to be available for distribution. It was decided that we will discuss publication of other parts of the financial information at a future Quarterly Meeting.

Gloria closed the meeting with a period of worship and Friends were encouraged to travel safely in the snow.
